Contacts and Segments

Import permissioned contacts, map fields, deduplicate data, and build reusable audience segments.

Contacts store audience profiles and subscription state. Segments define reusable selections from that audience.

Prepare an import

Use a CSV with a clear header row. Keep email as the primary address field and include only attributes needed for sending, personalization, or lawful recordkeeping.

Before import:

  • confirm the source and permission basis;
  • normalize obvious field-format issues;
  • remove columns the application does not need;
  • preserve a controlled source copy;
  • decide how duplicates and existing contacts should be handled.

RS Email Verifier can prepare a separate assessment export, but RSender does not fetch it automatically.

Import contacts

  1. Open Contacts and start the import wizard.
  2. Select the CSV file.
  3. Map email and optional name, company, phone, language, tag, or custom fields shown by the interface.
  4. Run validation and review mapping errors.
  5. Choose the available deduplication and update behavior.
  6. Review suppression matches.
  7. Commit the import and save the report.

Suppressed addresses remain ineligible for sending even if they appear in a new import.

Manage contacts

Search or filter contacts by segment, tag, subscription state, or available profile fields. From the list or detail view you can:

  • inspect profile and activity history;
  • update profile fields and tags;
  • move records to a segment;
  • mark contacts unsubscribed;
  • restore subscription only when renewed permission is documented;
  • delete records according to data-retention policy.

Bulk actions deserve the same review as an import. Confirm the filter and selected count before applying changes.

Create segments

  1. Open the segment area.
  2. Create a name that describes the audience purpose.
  3. Add supported field, tag, activity, or subscription rules.
  4. Preview the matching count.
  5. Inspect sample contacts.
  6. Save the segment.

Segment membership can change as contact data changes. Recheck the count and sample immediately before a campaign.

Audience governance

Keep consent or other legal-basis evidence outside the send action itself. Tags and segments are operational tools; they do not create permission. Never restore an unsubscribed contact simply to increase audience size.
